1. Printable vehicle checklist

Start with a simple list for every active vehicle. The aim is not to replace judgement or garage advice. It is to make the basic admin visible enough that renewal dates are not hiding in email, spreadsheets, diaries or glovebox paperwork.

  • Registration plate, label, make, model, year and fuel type.
  • MOT due date checked against the official MOT history record.
  • Road tax status checked against official DVLA data.
  • Insurance renewal date and policy reference.
  • Last service date, last service mileage and service interval.
  • Brake, tyre, oil and inspection notes from recent garage work.
  • Preferred garage, supplier phone number and email if known.

2. CSV template for the vehicles you already know

If your fleet details are currently spread across files, emails or supplier documents, use the template to get the important columns into a consistent format. Upload it to Fleetkeep when you want the dashboard, sorted next actions and reminder emails.

Use ISO-style dates where possible, for example 2026-07-19. Fleetkeep can still pull official MOT and tax information separately where API access is available.

3. Monthly renewal calendar

A useful fleet routine is to review vehicles due in the next 60 days at the start of each month. That gives enough time to check suppliers, book MOTs or services, compare insurance renewal options and chase unresolved maintenance work.

60 days Review upcoming MOT, tax, insurance and service dates.
30 days Book or renew anything that needs an external supplier.
14 days Chase anything not yet confirmed and check vehicle downtime.
7 days Final check that the booking, renewal or repair is complete.

4. Official source links

Fleetkeep combines official UK vehicle data where available with dates entered by the operator. If you are working manually, these are the source links to keep close.

Practical templates in this pack

These pages break the pack into individual operator jobs, so drivers, office teams and managers can use the right template without digging through a long document.

Manual pack vs Fleetkeep dashboard

The pack is useful if you want a checklist and clean import starting point. Fleetkeep is the next step when you want official dates, reminders, documents and driver guidance in one operational dashboard.

Prefer not to set it up yourself? Send us your existing vehicle list and we can help import your fleet, organise the records and flag missing dates for review. Setup support is included on Custom, optional from £49 one-off on self-serve plans, and free for annual plans during launch.
