1. Printable vehicle checklist

Start with a simple list for every active vehicle. The aim is not to replace judgement or garage advice. It is to make the basic admin visible enough that renewal dates are not hiding in email, spreadsheets, diaries or glovebox paperwork.

  • Registration plate, label, make, model, year and fuel type.
  • MOT due date checked against the official MOT history record.
  • Road tax status checked against official DVLA data.
  • Insurance renewal date and policy reference.
  • Last service date, last service mileage and service interval.
  • Brake, tyre, oil and inspection notes from recent garage work.
  • Preferred garage, supplier phone number and email if known.

2. CSV template for the vehicles you already know

If your fleet is currently in a spreadsheet, use the template to get the important columns into a consistent format. You can keep using it manually, or upload it to Fleetkeep when you want the dashboard, sorted action queue and reminder emails.

Use ISO-style dates where possible, for example 2026-07-19. Fleetkeep can still pull official MOT and tax information separately where API access is available.

3. Monthly renewal calendar

A useful fleet routine is to review vehicles due in the next 60 days at the start of each month. That gives enough time to check suppliers, book MOTs or services, compare insurance renewal options and chase unresolved maintenance work.

60 days Review upcoming MOT, tax, insurance and service dates.
30 days Book or renew anything that needs an external supplier.
14 days Chase anything not yet confirmed and check vehicle downtime.
7 days Final check that the booking, renewal or repair is complete.
