The £80 mistake that can reach £1,000
If your road tax (VED) lapses, the DVLA's automated late-licensing letter charges £80, halved to £40 if paid quickly. That is annoying but not fatal. The bigger risk sits behind it: drive an untaxed vehicle and you can be fined up to £1,000, and the DVLA can clamp or impound the vehicle. If it is on a public road and not declared SORN, an Automatic Number Plate Recognition camera will pick it up within days.
For a fleet, the chance of getting caught scales with how many vehicles you run. One van might slip through. Five vans on the road every day will not.
Why fleet road tax is easy to forget
Three reasons fleets are more exposed than personal drivers:
- Mixed renewal cycles. Some vehicles are taxed annually, some every six months, some monthly. The dates do not line up. If you bought vehicles second-hand, every one expires on its own schedule.
- The reminder letter goes to the registered keeper. If your business has changed address, or you keep vehicles registered to a different operating site, the V11 reminder ends up at the wrong post box.
- It is the renewal you do not personally do. A driver topping up fuel does not check a tax disc (those are gone). The owner-operator pays it once and forgets.
How Fleetkeep tracks road tax
Type a registration. We pull the road tax expiry date straight from the DVLA Vehicle Enquiry Service. Same source the DVLA uses to issue the V11 reminder. We refresh it whenever you add or update a vehicle, so the date is always live.
Then the reminder cadence kicks in: an email at 60 days out, another at 30 days, then 14 days, and a final at 7 days. They go to your inbox plus any verified reminder recipients you add. If a vehicle has been taxed early or is on SORN, the dashboard reflects that and the reminder is suppressed.

Whether you call it road tax, car tax, vehicle tax or VED, the admin problem is the same: the renewal date can sit outside the diary used by the person running the vehicles. The DVLA V11 reminder letter is still useful, but it goes to the registered keeper address and can be missed if post is handled away from the day-to-day operator.

Search terms vary, but the operator job is simple.
