From the first vehicle check to the repair record.
Fleetkeep gives UK operators one place to manage maintenance, daily checks, vehicle records, running costs and connected tracking. See the next job, record what was done, and keep the evidence with the vehicle. Start with a registration or your fleet spreadsheet.
Know what is due. Record what gets done.
Bring your fleet records
Type one registration or import an Excel or CSV file. Fleetkeep auto-fills make, model, MOT and road tax dates from official DVLA and DVSA records.
Review the next job
Every vehicle lands in one traffic-light queue, sorted by what is due soonest across MOT, tax, insurance, service and mileage.
Keep the follow-up together
Record defects, maintenance and service history against the vehicle. Keep documents and recorded costs beside the work, with reminders for the next due date.
Keep the reported problem with the work it creates.
A vehicle check is the start of the job. Record the defect, attach private photo or video evidence, and keep the maintenance follow-up against the same vehicle. Completed work stays in its history.
- Daily walkarounds and defect reports
- Date and mileage-based maintenance reminders
- Service history, recorded costs and supporting documents
See the inspection workflow or explore maintenance reminders.
Know what each vehicle has, and what is missing.
Keep GPS trackers, fuel cards, breakdown cover, warranties and ownership or hire details with the vehicle. Record start and end dates, retain previous equipment, and set reminders for the dates you need to review.
Insurance certificates, service invoices and vehicle files stay private unless you choose to make an eligible document visible to drivers.
See vehicle document managementBring the fleet list you already use.
Upload an Excel or CSV file. Fleetkeep recognises common registration, insurance, service, tracker, Ghost, fuel-card and toll headings, then shows a preview before adding anything.
- Only the registration column is required
- Review detected vehicles and correct bad registrations first
- Existing vehicle dates are not overwritten
Ask about your fleet in ChatGPT. Update it through the CLI.
Install the first-party @fleetkeep/cli package to list, add and update vehicles,
or preview a CSV or XLSX fleet file before applying it to your Fleetkeep account.
npm install -g @fleetkeep/cli
fleetkeep auth login
fleetkeep import preview vehicles.xlsx The published ChatGPT plugin is read-only. Spreadsheet imports and record changes are available through the CLI; expanded ChatGPT tools are not published yet. See the ChatGPT guide.
Read the CLI guideEverything about one vehicle, in one place.
Open any vehicle to see its dates, documents, photos and history together. Upload the V5C, insurance certificate or service invoice, log a defect with walkaround photos, and record handover and return condition checks.
Start with the printable driver walkaround check template or vehicle defect report template.
- Documents and renewal references kept beside the vehicle
- Defect reports with photo and video evidence
- Handover, return and condition checks for hire and pool vehicles
Give drivers one guidance link.
Share breakdown steps, accident procedure, company vehicle guidance and the documents a driver is allowed to see, all behind a single link. No more attachment threads, and you choose exactly which documents are visible.
- Breakdown and accident procedures always to hand
- Approved vehicle documents shared, the rest stay private
- One link per fleet, no driver logins to manage
Track toll, ULEZ and clean-air spend.
Keep account cover, Auto Pay status and review dates per vehicle, then import a provider statement to reconcile charges against the right registration. Manual uploads match immediately; forwarded statement emails process on an hourly bridge.
Read the UK fleet toll management guide for the account details and review checks worth recording.
- Account cover and review dates by vehicle and fleet-wide
- CSV statement import, matched to registrations
- Congestion, ULEZ and clean-air zones in one view
See what you have spent on each vehicle.
Review recorded fuel, repairs, insurance, services and GBP toll charges by vehicle and date range. Missing service costs are flagged, so you can see where the record needs work.
Add a receipt reference, import a CSV statement with a preview, or review eligible Xero bills before assigning them to a vehicle. Totals reflect recorded costs, not an estimate of missing spend.
Bring the records you already have.
Move in with Excel or CSV, keep your supported tracking provider, and use the CLI when fleet admin belongs in a script. The published ChatGPT plugin can answer read-only questions about your fleet.
We will help import your fleet at no charge. Send a registration list, spreadsheet or export and we will help you get the first records in place.

Connect an authorised Wex Telematics, Wialon Hosting or Samsara account. Fleetkeep shows the latest vehicle location, when the provider last reported, and whether the connection is live, delayed or offline.

- Wex route history, fuel entries, estimated UK MPG and diagnostic codes
- Latest location and connection health from Wialon and Samsara
- Toll, clean-air-zone and EV charging reference layers
Provider access is read-only. Fleetkeep does not control the vehicle or replace the tracking hardware and contract you already use.
Reminders before anything lapses.
Fleetkeep emails you before each MOT, road tax, insurance and service date. Use the default 60, 30, 14 and 7 day rhythm, or choose your own reminder days. Each email names the vehicle, the job and the date, with a link straight to the dashboard. Add verified reminder recipients for shared admin.
- Default or custom reminder days, switched on per vehicle
- Transactional only, no marketing without your opt-in
- Optional verified reminder recipients for an office manager or partner
Check the vehicle. Record the problem. Review the fleet.
Drivers can complete walkarounds and record defects while fleet managers review vehicle dates, open work and connected locations from the same Fleetkeep account.
