Definitions
"Fleetkeep", "we" or "us" means Studea Limited, company number 17228961, the operator of fleetkeep.co.uk. "You" or "operator" means the person registered to the account or otherwise using the service. "Vehicle data" means the registration numbers and dates you add or which we retrieve from the DVLA Vehicle Enquiry Service or DVSA MOT History API on your behalf.
The service
Fleetkeep provides email reminders before vehicle compliance dates such as MOT, road tax, insurance and service. We pull MOT and tax data from the DVLA Vehicle Enquiry Service and DVSA MOT History API. Insurance and service dates are entered by you.
You are the operator
Fleetkeep records the information you provide; it does not independently assess roadworthiness. Drivers and operators remain responsible for checking vehicles are safe and legally compliant before use. Inspection answers, defect reports, maintenance records and off-road status are records, not certification that a vehicle is safe. Completing a check, closing a defect or changing a vehicle back to active does not replace the checks and repairs needed before use.
You are responsible for keeping your vehicles legally compliant. We do our best to deliver reminders on time, but you must not rely solely on Fleetkeep for compliance. If a reminder is delayed, missed, or incorrect for any reason, including but not limited to upstream API outages, email delivery failure, incorrect data entry, or our infrastructure being unavailable , responsibility for the consequences of driving an uninsured, untaxed or un-MOT'd vehicle remains entirely with you. We strongly recommend keeping a backup record outside Fleetkeep.
Pricing
Fleetkeep starts with a 30-day trial. Personal costs £4/month or £40/year for one vehicle, and Household costs £8/month or £80/year for two vehicles. Fleet plans scale by vehicle count and add business features. Billing is handled through Stripe Checkout, and you can cancel and export your data at any time.
Affiliate disclosure
Some links in our emails and dashboard earn us a commission when you book or buy from a partner (for example, a garage, comparison site or breakdown provider). Sponsored links are clearly labelled. Partner links are optional and do not affect your subscription, your reminders or how your fleet data is handled. We do not let affiliate income influence which partners we recommend.
Third-party services
Some functionality depends on third parties (Google sign-in, Cloudflare, Neon, Resend, DVLA, DVSA, AI services you choose to connect and affiliate networks). When those services are unavailable, parts of Fleetkeep may not work. We are not liable for failures, delays, or data disclosed by these third parties beyond our reasonable control. Their own terms and privacy policies apply when you interact with them directly (for example, when you click through an affiliate link to book with a partner).
AI connectors
If you connect Fleetkeep to ChatGPT, Claude or another compatible service, you authorise that service to request the Fleetkeep data covered by the read permissions shown on the consent screen. The connector is read-only. It cannot create, edit or delete Fleetkeep records, send reminders, book work or connect a tracking provider. Disconnect the service to stop future connector access.
Acceptable use
Do not register vehicles you do not own or operate. Do not use the service to circumvent compliance obligations. Do not attempt to abuse, scrape or overload our infrastructure, or to access another user's data. We reserve the right to suspend or terminate accounts that breach these terms, with or without notice.
Termination
You can delete your account at any time from your settings. On deletion we delete account, vehicle, compliance, MOT history, contact, consent and reminder records, together with private files stored under the account, from the active service immediately. Protected infrastructure backups may persist until they expire under the relevant provider's backup cycle. Audit log entries are anonymised (your user reference and record metadata are removed) and retained for up to 24 months for security and fraud prevention before being automatically purged. Affiliate click events are retained anonymously for up to 90 days for accounting reconciliation. We may suspend or terminate accounts that breach these terms, that have been inactive for more than 24 months, or for the operational reasons described above.
Limitation of liability
To the maximum extent permitted by law, Fleetkeep is provided "as is" and "as available" without warranty of any kind. We do not warrant that the service will be uninterrupted, timely, secure or error-free. Our total aggregate liability to you for any claim arising out of or relating to the service is limited to the greater of (a) £100, or (b) the amount you have paid us for the service in the 12 months preceding the claim. Nothing in these terms excludes liability for fraud, death, personal injury caused by negligence, or any other liability that cannot be excluded under UK law.
Governing law
These terms are governed by the laws of England and Wales. Any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.
Severability
If any provision of these terms is held to be invalid or unenforceable, the remaining provisions remain in full effect.
Changes
If we change these terms materially we will email registered users at least 14 days before the change takes effect, and update the date above. Continued use of the service after the change takes effect constitutes acceptance.
